Terms and Conditions

These terms apply to everyone who visits our venue, books a session, attends an event, enters a league, or holds a membership with Pro Racing. By booking with us or entering our venue, you agree to them.
1. Who we are
Pro Racing Pty Ltd (ABN 28 680 332 683), trading as Pro Racing Simulators & Sports Bar, of 56 High Street, Hastings VIC 3915. Liquor Licence 32385472.
In these terms, "we", "us" and "our" mean Pro Racing Pty Ltd. "You" means anyone using our venue or booking with us.

2. Age and supervision
Our venue is licensed. Everyone entering must be 13 years or older, including anyone attending only to watch.
Anyone under 18 must be accompanied by a responsible adult for the duration of their visit. The accompanying adult is responsible for their supervision and conduct.
We may ask for proof of age at any time. If you can't provide it, we may refuse entry or service.
3. Dress code
Smart casual. We don't permit work gear, work boots, ripped clothing, thongs or singlets.
Closed-in shoes are recommended for the racing simulators.
We may refuse entry if you don't meet the dress code.
4. Behaviour in the venue
We want everyone to have a good time. You agree to:
Follow instructions from our staff, including all safety directions
Treat other guests, our staff and our equipment with respect
Not use our equipment while affected by alcohol or drugs to a degree that makes it unsafe
As a licensed venue we're required to serve alcohol responsibly. We may refuse service, and we may ask you to leave without refund, if your behaviour puts others at risk, disrupts other guests, or breaches these terms or our licence obligations.
5. Health and safety
What our equipment does. Our racing simulators use motion platforms and force feedback. The seat moves, tilts and vibrates, sometimes suddenly and with considerable force, and the steering wheel applies resistance that can be strong. Our golf simulators involve swinging clubs at speed inside an enclosed bay.
Risks you should know about. Using this equipment carries risks including motion sickness, dizziness, disorientation, muscle or joint strain, impact with the equipment or its surroundings, and aggravation of an existing injury. In the golf bays there is a risk of being struck by a club or a ball. These risks exist even when equipment is properly maintained and instructions are followed.
Conditions that may make this unsuitable for you. Please tell a staff member before you use our equipment if you have a heart condition, high or low blood pressure, a back, neck or shoulder injury, epilepsy or photosensitivity, an inner ear or balance condition, a recent surgery or injury, if you are prone to motion sickness, or if you are pregnant. If you're unsure whether our equipment is suitable for you, speak to your doctor before booking. We don't record what you tell us — it's so our staff can help you decide.
Stop if something's wrong. Stop immediately and tell a staff member if you feel dizzy, nauseous, faint, short of breath or unwell, or if anything hurts.
Follow instructions. You must follow all safety instructions given by our staff and all signage in the venue. Nobody may stand within the swing area of an active golf bay.
Alcohol. You must not use our equipment if you are affected by alcohol or drugs to a degree that makes it unsafe. Our staff may refuse you access to the equipment on that basis, and their decision is final.
Nothing in this section limits any right or remedy you have under the Australian Consumer Law.
6. Bookings — racing simulators
Racing simulator sessions are booked through our online booking system. Prices are per driver and vary by group size and session length, as shown at the time of booking.
Sessions start at the booked time. If you arrive late we'll do what we can, but your session may be shortened so the next booking isn't affected.
Bookings are for up to 10 drivers. Larger groups are handled as event packages — see section 9.
7. Bookings — golf simulators
Golf bays are booked per bay in 30-minute blocks through our online booking page. A bay accommodates up to 8 people.
Clubs are available, or you're welcome to bring your own.
8. Changing or cancelling a booking
You can change or cancel a racing or golf booking up to 24 hours before your session. Contact us by phone, by email, or through your booking confirmation link.
With at least 24 hours' notice, you can choose a full refund or a transfer to another time.
With less than 24 hours' notice, or if you don't arrive, the booking is charged in full. We may offer a transfer at our discretion.
If we have to cancel or reschedule your booking, we'll contact you and offer a full refund or an alternative time, whichever you prefer.
9. Events and functions
Event packages are priced per person and confirmed by written quote.
Deposit. A deposit of 20% of the estimated total confirms your date. Your booking isn't held until we receive it.
Final numbers. We need confirmed guest numbers 7 days before your event. This is the number you'll be charged for, even if fewer guests attend. If more attend, we'll charge for the additional guests where we can accommodate them.
Cancelling more than 14 days before your event. Your deposit is transferable to another date within 6 months.
Cancelling 14 days or less before your event. Your deposit is forfeited.
Payment. The balance is due 7 days before your event, or on the day by arrangement. Invoicing is available for businesses on request.
Dietary requirements are catered for where we're given reasonable notice.
10. Race nights and leagues
League entry is per driver, per night, paid in advance. Entry secures your place on the grid.
Grids are capped at 20 drivers. Once a night is sold out, it's sold out.
If you can't make a night you've paid for, let us know at least 48 hours beforehand and we'll transfer your entry to another round. With less notice, the entry is forfeited.
Race format, car classes, server settings and championship rules are published for each league and may be adjusted between rounds. We'll let entrants know if anything changes.
Penalties and race incidents are decided by our race director, whose decision is final.
If we have to cancel a race night, entrants will be offered a transfer to another round or a refund.
11. Memberships
Memberships are sold and managed through Submatic and billed weekly in advance. Your membership continues each week until you cancel.
Foundation pricing. Foundation rates are limited to our first 100 members. Once you hold a membership at a foundation rate, that rate stays with you for as long as your membership remains continuously active. If you cancel and rejoin later, you'll pay the rate current at that time.
Daily access. Membership includes daily simulator access as described in your tier, subject to availability. Availability isn't guaranteed at any particular time — peak periods, events and league nights may limit what's free. Book your time online to secure it.
Unused time doesn't roll over. Daily access not used on a given day isn't carried forward or refunded.
Discounts apply automatically at the till. Member discounts can't be combined with other promotions, packages or special offers.
Guests. Golf memberships cover the bay for up to 8 people. Racing memberships cover the member only.
Memberships are personal to you and can't be transferred, shared or lent to someone else. We may cancel a membership being used by someone other than the member.
Cancelling. You can cancel at any time, either through Submatic directly or by contacting us. Cancellation takes effect at the end of your current billing week — you keep access for the week you've paid for. There's no minimum term.
Pausing. You can pause your membership for up to 4 weeks per year by request. Your foundation rate is preserved while paused.
Price changes. We'll give you at least 28 days' notice before changing membership prices. You can cancel before any change takes effect.
12. Payments and refunds
Prices include GST unless stated otherwise, and are those shown at the time you book.
Your rights under the Australian Consumer Law. Our services come with guarantees that cannot be excluded under the Australian Consumer Law, including that they will be supplied with due care and skill and be reasonably fit for purpose.
If a service we supply fails to meet one of those guarantees, you're entitled to a remedy. For a major failure, you can choose to cancel and receive a refund, or seek compensation for any drop in value. For a minor failure that we can put right within a reasonable time, we may choose to fix the problem instead of giving you a refund. You may also be entitled to compensation for any other reasonably foreseeable loss or damage caused by a failure to meet a consumer guarantee.
Changing your mind. The cancellation terms in sections 8, 9 and 10 apply where you change your mind, can't attend, or cancel for a reason unconnected with anything we've done. Those terms reflect the cost to us of holding a booking that then goes unused. They don't affect your rights under the Australian Consumer Law.
If we can't deliver. If we cancel, or can't supply what you've booked, we'll offer you a full refund or an alternative, whichever you prefer.
Refunds are made to the original payment method within a reasonable time.
13. Gift cards
Gift cards can be used against racing, golf, food and drinks. They can't be redeemed for cash.
Our gift cards don't expire.
We can replace a lost or stolen gift card if you can provide proof of purchase.
14. Damage to equipment
Our simulators are expensive and easily damaged. You're responsible for damage you cause deliberately or through misuse — for example, hitting or forcing equipment, or ignoring staff instructions.
Normal wear from proper use is on us, not you.
15. Photography and filming
We photograph and film in the venue, particularly at events and race nights, and may use those images to promote Pro Racing on our website and social media.
CCTV also operates in public areas of the venue for security and licensing purposes.
If you'd prefer not to appear in promotional images, tell a staff member or your event host and we'll make sure you don't. If an image of you has already been published and you want it removed, email us at info@proracing.au and we'll take it down.
For private events, let us know in advance if you'd rather we didn't photograph the group at all.

16. Our liability
Your rights under the Australian Consumer Law. Nothing in these terms excludes, restricts or modifies any consumer guarantee, right or remedy under the Australian Consumer Law that cannot lawfully be excluded, restricted or modified. Nothing in these terms limits our obligations under work health and safety law.
Your property. Except where caused by our negligence or our breach of these terms, we are not liable for loss of or damage to personal property you bring into the venue.
Indirect loss. Except where caused by our negligence or our breach of these terms, we are not liable for indirect or consequential loss, including loss of profits or loss of opportunity.
Matters outside our control. We are not liable for a failure to supply, or a delay in supplying, caused by circumstances beyond our reasonable control, including power failure, equipment or software failure, internet outage, or the acts of third parties. Where this happens we'll offer you a refund or an alternative time.
Limit on other liability. Where we are liable to you for something other than death or personal injury, and to the extent the law permits us to limit that liability, our total liability is limited to the amount you paid us for the service in question.
17. Privacy
We collect personal information when you book, enquire, enter a league or join as a member. How we collect, use and store it is set out in our Privacy Policy.
18. Changes to these terms
We may update these terms from time to time. The current version is always on this page, with the date it was last updated at the top. Changes apply from the date they're published.
If we make a significant change affecting memberships, we'll notify members directly.
19. Governing law
These terms are governed by the laws of Victoria, Australia.
