Who we are

This policy explains what personal information we collect, why we collect it, who we share it with, and what you can do about it. It applies to our venue, our website at proracing.au, and our booking, event, league and membership services.

What we collect

When you book a session or a golf bay — your name, email address, phone number, booking details and payment information.

When you enquire about an event — your name, contact details, company name if you give one, your preferred date, guest numbers and anything else you tell us about your event, including dietary requirements.

When you enter a race night or league — your name, contact details, payment information, and your race results, lap times and championship standing.

When you become a member — your name, contact details, payment and billing information, and a record of your visits and purchases so we can apply your member benefits.

When you buy a gift card — your name and contact details, and the recipient's name and email if you're sending it to someone.

When you contact us — whatever you include in your message.

When you subscribe to our emails — your name and email address.

When you visit our website — technical information such as your IP address, browser type, the pages you visit and how you arrived. See "Cookies and tracking" below.

When you visit our venue — CCTV cameras operate in public areas for security and licensing purposes. Footage is kept for 40 days and then overwritten, and is accessed only by management.

Photographs and video — we photograph and film in the venue, particularly at events and race nights. See "Photography and filming" below.

Health information

We may ask whether you have a medical condition that could make our motion simulators unsafe for you — for example a heart condition, epilepsy, a back or neck injury, or pregnancy.

We ask this for your safety and we don't record it. Tell a staff member, they'll act on it, and that's the end of it. No record is kept.

How we collect it

Mostly directly from you — through our booking systems, our enquiry forms, at the bar, over the phone, or by email.

Sometimes from someone else: if a colleague books an event and gives us your details as a guest, or if someone buys you a gift card or membership.

Why we use it

  • To provide what you've booked and take payment for it

  • To contact you about a booking, event, league entry or membership

  • To run our membership programme and apply your member benefits at the till

  • To publish league results and championship standings

  • To answer your questions

  • To send you marketing emails, if you've asked to receive them

  • To keep our venue safe and meet our obligations as a licensed premises

  • To meet our legal and tax obligations

We don't sell your personal information to anyone.

Who we share it with

We use third-party services to run the business. They handle your information under their own privacy policies:

We may also share information where we're required to by law, or with our accountant, insurer or professional advisers where necessary.

Some of these providers are based overseas, including in the United States, so your information may be stored or processed outside Australia.

Marketing emails

We only send marketing emails to people who've asked for them. We send these through Mailchimp.

Every email has an unsubscribe link, and we act on unsubscribes promptly. You can also just reply and tell us, or email info@proracing.au.

Unsubscribing from marketing doesn't stop us contacting you about a booking you've made or a membership you hold.

Photography and filming

We take photographs and video in the venue, particularly at events and race nights, and use them to promote Pro Racing on our website and social media.

If you'd rather not appear, tell a staff member or your event host and we'll make sure you don't. If something has already been published and you want it taken down, email us and we will.

For private events, let us know in advance if you'd prefer we didn't photograph the group at all.

This is separate from our CCTV, which is used only for security and licensing and isn't used for promotion.

Cookies and tracking

Our website uses cookies — small files stored by your browser — to make the site work, remember your preferences, and understand how people use it.

Analytics. We use Google Analytics and Squarespace Analytics to see which pages people visit and how they found us. This is aggregate information about visitors as a group.

Advertising. We use advertising and conversion tracking from Google and Meta (Facebook and Instagram). These tell us whether our ads are working and may be used to show you our ads on other sites and apps.

You can block or delete cookies through your browser settings, and you can manage ad personalisation through your Google and Meta account settings. Some parts of our site may not work properly if you block cookies entirely.

Children and young people

Our venue is for people aged 13 and over, and anyone under 18 must be accompanied by a responsible adult.

Where we collect information about someone under 18 — a league entrant, a member, or a guest at an event — we expect that to come from, or with the agreement of, their parent or guardian.

If you believe we hold information about your child that you'd like removed, email us and we'll deal with it.

Keeping your information secure

We take reasonable steps to protect personal information from misuse, loss, and unauthorised access.

Most of it is held in the systems listed above rather than on our own computers, and those providers maintain their own security. Access is limited to staff who need it to do their job.

No system is completely secure. If something goes wrong and it's likely to cause you serious harm, we'll tell you and, where required, notify the Office of the Australian Information Commissioner.

How long we keep it

We keep personal information only as long as we need it.

  • Booking and payment records — 7 years, to meet our tax and accounting obligations

  • CCTV footage — 40 days, then overwritten

  • Marketing contacts — until you unsubscribe

  • League results and championship standings — kept as an ongoing record of the competition

  • Health information — not recorded at all

Getting access to your information, or correcting it

You can ask us what personal information we hold about you and ask for a copy. You can also ask us to correct anything that's wrong.

Email info@proracing.au. We'll respond within a reasonable time, and we won't charge you for asking.

We may need to verify who you are before we release anything.

Complaints

If you think we've mishandled your personal information, email info@proracing.au or call 0400 878 790 and we'll look into it.

If you're not satisfied with how we've handled your complaint, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.

Changes to this policy

We may update this policy from time to time. The current version is always on this page, with the date it was last updated at the top.
